Coupon Management

Gift coupons have become an integral part of retail marketing. To survive the competitive market, firms need to introduce gift coupons and other interesting promotional vouchers to keep up the engagement of their customers. Managing these gift coupons is no longer difficult with the HALERP Coupon Management module

HALERP Coupon Management module allows to create 

  • Coupons with discount %  ( 5% discount coupons etc.,)
  • Gift Vouchers with specific discount value (100/- gift voucher etc.,)

Coupons

To set up a coupon, Go to Coupon Management>> Coupon Master>>Create New

 

The form allows you to create the definitions of the coupon/Gift voucher that you want to create.

The first section in the coupon Master form is  Coupon type is where we define the type, where we choose whether we are defining a coupon or a voucher. 

  • Since we are defining a  gift coupon, we select the field Type  as ‘coupon’
  • The next field Generation type has 2 options to choose from ‘manual’ or ‘auto’. 
  • The ‘manual’ mode could be chosen when we want to generate some coupons manually and give them to the customers.   

Ex- Create a discount coupon of 5 % as an inaugural offer to all the customers walking into the store.

The ‘Auto’ mode could be chosen when we want to generate coupons based on sales made by a customer.

Ex- Create a discount coupon of 10% for customers whose sale value is above 5000/- 

  • The Name field is to provide a name for this particular coupon definition
  • The code field is used to give a code for this coupon which will be used while billing a sale.

The next section Coupon details  

Below given is the screenshot of the ‘coupon details ‘section when the coupon generation type is ‘manual’


  • The Value type field is set as ‘discount’ by default since we are defining a coupon discount.
  • In the value field, set up the desired discount to be offered for this campaign.
  • The Start date is the date from when the discount coupon code could be used while billing a customer.
  • The expiry date is the date after which this offer campaign would expire.
  • Max use field allows to set up the maximum number of times, the coupon code could be used within the expiry date.

This ‘coupon details’ section has some more fields when the coupon generation type is ‘Auto’. Below is the screenshot


  • Start date is the date from which the coupon generation would start
  • Expiry date is the date after which the coupon generation will expire
  • Valid from date is the date from when the coupon code could be redeemed
  • Valid till date is the date till when the coupon could be redeemed
  • Max use is the number of times the coupon code would be generated.
  • Absolute validity is a field that is used to choose whether the validity date is to be chosen as “dates” as in the screenshot above or “ days” as below


In the above case, the coupon code will be valid 1 day after the expiry date and valid for 30         days from the valid after date. i.e in case the Sales happens on 15/06/2021, the coupon code         generated will be valid from 01-07/2021 till 30-07-2021

In the next section coupon configuration, we can define some settings on how this coupon should behave


  • Existing discount could be set to ‘Add’ when you want the existing discount for the product to be added along with this coupon discount else it could be set to NA so that you cannot apply this coupon code if there is an existing discount on the product.
  • Allow combining field is to define whether the discount coupon code could be combined along with any gift vouchers valid during the time.
  • Undo on void field is to define whether the discount code used on a sales receipt to be voided or not when the sales receipt is voided.
  • Allow returns is to define whether a sales receipt on which a coupon code is used, is allowed to be returned or not.
  • Print Message field will be visible only if the coupon definition is done in the ‘Auto’ generation type. This field is used to enter the message to be printed on the Sales receipt when the coupon code is generated through a sale.

The next section Coupon Generation- Trigger at outlets will be visible only in ‘Auto’ generation type and this section allows to define where the coupon definition has to be triggered at, in case of multiple outlets for the company.

  • Click on Add Items to select the outlets where the coupons have to be generated, on sales. i.e. let’s say there are 3 outlets for the company and if you select outlet 1 in Add items grid, then the coupon discounts will be generated only for the sales happening at outlet 1 and not the other 2 outlets. And if you leave the grid empty, then the coupon generation will be triggered at all outlets. This grid may be used only if you want to restrict the coupon generation to certain outlets.

The next section is Enter Ranges where you can enter some criteria for coupon generation. This section will be visible only in the ‘Auto’ generation type.


  • The Range type field has 3 options to choose from
  1. Total- This is to choose the criteria based on Sales Total
  2. Total with Tax- to choose criteria based on Sales Total with tax
  3. Qty- to choose criteria based on the number of items on Sales.
  • In the Add grid, you can define the ranges for the range type chosen 

For Example, in the screenshot above, the range type chosen is ‘Total’ and 2 ranges are defined. I.e. If the Sales total is between 500-1000 then a discount coupon of 5 % to be generated and if the Sales total between 1001-2000 then a discount coupon of 10% to be generated.

The next section Coupon Generation filters are where we can add another criterion for the coupon generation. In this section, we can restrict which category of products to be chosen for coupon generation. This criterion works along with the criteria added in the “Enter Ranges” section.

 

  • In Add items grid, you can select the category of items for coupon generation.

In the above screenshot, 2 categories of items are selected. Any sales that happen with any or all of the above 2 categories of items with the total criteria given in the ‘enter ranges’ section, the corresponding discount coupon will be generated. 

Ex- Sales total of 1595/- of Ariston washing machine will generate a 10% discount coupon.

The next section Coupon Redemption- Select Applicable outlets is to select applicable outlets (in case of multiple outlets) for coupon redemption.


  • In Add items grid, you can select the applicable outlets for coupon redemption.

I.e. if there are 3 outlets for a company and if you select outlet 1 in the grid, the coupons generated could be redeemed only at outlet 1 and not at the other 2 outlets.

This section may be used only if you want to restrict coupon redemption to specific outlets. If no outlet is chosen, then the coupons generated could be redeemed at all the available outlets.

The last section is Coupon Redemption filters- where you can add conditions for coupon redemption based on the category of items.


  • In Add items grid, all the categories of Items would be listed to be chosen from and you can choose to add conditions that the coupon may be redeemed only for specific categories.

If you add any category in the grid, then the coupon could be redeemed only on purchase of the added category of item. If the grid is left empty, then coupons would be applicable to all categories.

Once the coupon is generated, you can check the coupons from the report “Voucher List”

The generated voucher is shown in the report as below.

 

Gift Voucher


To set up Gift Voucher, Go to, Coupon Management>> coupon

The first section Coupon type is where we define the type, whether we are defining a coupon or a voucher. 


  • Since we are defining a  gift voucher, we select the field Type as ‘voucher’.
  • The next field Generation type has 2 options to choose from ‘manual’ or ‘auto’. 

The ‘manual’ mode could be chosen when we want to generate vouchers manually and provide them to customers.  

Ex- Create a Gift voucher of 100/- as an inaugural offer to all the customers walking into the store.

The ‘Auto’ mode could be chosen when we want to generate vouchers based on a sale made by a customer.

Ex- Create a gift voucher of 200/- for customers whose sale value is above 5000/- 

  • The Name field is to provide a name for this particular voucher definition.
  • The code field is disabled for voucher generation since the voucher code is generated by the system.

The next section Coupon details

  • The Value type field is set as ‘amount’ by default since we are defining a gift voucher in amount.
  • In the value field, set up the desired amount to be offered as vouchers, for this campaign.
  • The Start date is the date from when the gift voucher could be redeemed.
  • The expiry date is the date after when the gift voucher would expire.
  • Max use field is set to 1 and disabled since each voucher could be used only once.

This ‘coupon details’ section has some more fields when the voucher generation type is ‘Auto’. Below is the screenshot

  • Expiry date is the date after which the voucher  generation will expire
  • Valid from date is the date from when the voucher could be redeemed
  • Valid till date is the date till when the voucher could be redeemed
