Student Promotion and Transfer

Student Promotion allows you to promote passed students of a class to the next class and division, at the end of the academic year. 


To Promote students of a particular class, go to  Student>> Student Class section Manager




In the Student class section manager form, one can create 2 transactions either a  Transfer or Promotion.


Promotion is done usually during academic year-end while Transfers are used to transfer students from one class/section to another anytime of the year.


Precautions or Information while doing Promotion:


1. Once a student is promoted to the next class, Fee Invoices cannot be raised /changed for the previous year.


2. Students should be promoted in Descending order i.e., begin from GR12 to GR END, then Grade 11 to Grade 12 & so on...


3. All the students should be promoted. No partial promotion is allowed.


4. Once the entry is added, it can neither be edited nor deleted from backend.


5. Make sure all the collected payments for the current year are recorded before performing promotion.


6. Once promotion is done, it should be informed to HAL SUPPORT TEAM to perform closing academic year, which usually takes less than 1 working day.


7. Until New Academic Session is opened, NO PAYMENTS can be collected.


8. All the pending fees will be moved or carry forwarded to next academic year as "OLD DUES", which will be visible during "Fee Invoice Payment" screen.


9. Only Student whose status is "ACTIVE" will be promoted.


Steps to do Promotion:


You can choose the "From"  and " To" class from the drop-down menu. Once a class is selected, the corresponding class students will be listed in the grid and you can then choose to move the students of the particular class to the next class.


For a Promotion, the 'From ' and 'to' could only be from a lower class to a higher class. And this transaction cannot be edited or reverted, so any promotion of a particular class-section should be done in one single transaction. You can choose to edit through the Transfer option, in case of any changes to be done or through manually changing the class from the Student Profile module.
